Why patient reactivation campaigns work
Every practice has people who already know it: patients who were due for a follow-up and never booked, patients who came once for a service they would come back for, and leads who called or filled out a form but were never scheduled. They chose your practice once. Most of them just need a timely, relevant reminder.
A patient reactivation campaign, sometimes called database reactivation, turns that list into booked appointments. Instead of paying to find new patients, you give the ones already in your database a clear reason to return and an easy way to book. It is often the fastest way to fill open time on the schedule, because the trust is already there.
Patient reactivation email campaigns
Email does the explaining. Each campaign email gives one audience one reason to come back, such as an overdue follow-up, a seasonal service, a new provider or location, or an approved offer, and ends with a single, obvious way to book.
- Written for the audience. A patient who is overdue for a check-in gets a different message from a lead who asked about a treatment and never scheduled.
- Approved by your practice. Nothing goes out until your team has signed off on the wording, the offer, and the send dates.
- Careful with health information. Messages are written so they do not reveal diagnoses, treatment history, or other sensitive details, and every email includes a clear way to unsubscribe.
- Easy to act on. One call to action: book online, call the front desk, or reply to the email.
Patient reactivation text campaigns
Text messages do the nudging. Many people never open an email but will read a short text. In a campaign, texts follow the email with a brief, friendly reminder and an easy path to respond: reply to the text, tap to call, or follow a booking link.
- Short and plain. A sentence or two from your practice, by name, with no clinical details.
- Only to people who can receive them. Texts go to patients and leads your practice has permission to text, following your consent records, and every text includes opt-out instructions.
- Timed with the email. Texts land a day or two after the email, during reasonable hours, so the two channels reinforce each other instead of piling up.
How we run a patient reactivation campaign
Done for you, with your team approving each step.
- 01
Segment the listWe work with your team to split past patients and uncontacted leads into clear groups, such as overdue follow-ups, lapsed patients by service, and leads who never booked.
- 02
Shape the offerFor each group, we agree on the reason to come back and the service you want to fill, using only offers your practice has approved.
- 03
Write the sequenceWe write the emails and texts, typically a short sequence over about a week, matched to your practice’s voice.
- 04
Get approvalsYour team reviews every message, the audience, and the send schedule. Nothing sends without sign-off.
- 05
Send the campaignWe run the outreach on the agreed schedule, respecting opt-outs and removing people as soon as they book or reply.
- 06
Hand responses to your teamReplies and booking requests go straight to your front desk to schedule, and we share what went out, who responded, and what to try next.
Who patient reactivation is for
Independent and multi-location practices with a list of patients they have not seen in a while, or leads who never booked, and the capacity to see more of them. That includes specialist clinics, primary care, physical therapy and chiropractic practices, med spas, and other elective-care practices.
Patient reactivation is a standalone service. You do not need any other Patient Engine work to use it. Some practices pair it with AI visibility to bring in new patients as well, but a reactivation campaign is about the people already in your database.
